What to Expect When You’re Ready to Begin Therapy

Starting therapy can feel like a big step. This page is designed to help you understand what to expect — from reaching out, to your first appointment, to fees, insurance, and next steps.

2. We Help Match You With the Right Clinician
We’ll ask a few brief questions to help us understand:
• What you’re hoping to work on
• Whether you’re looking for in-person or telehealth
• Scheduling preferences
• Any clinician preferences you may have
Our goal is to help connect you with the clinician and approach that best fits your needs.

3. Complete Intake Forms
Before your first appointment, you’ll receive instructions to complete intake paperwork through our secure system. Completing forms in advance helps ensure your first session starts on time and is focused on you.

Integrative Psychology is a private-pay practice. Fees vary by clinician and are listed below for transparency. We do provide superbills for potential Out-of-Network reimbursement.

• Follow-up sessions (45–50 minutes): $395

Dr. Miriam Rubin, PhD, CBSM, DBSM
• Initial intake session (50 minutes): $300
• Follow-up sessions (45–50 minutes): $260

• Initial intake session (50 minutes): $215
• Follow-up sessions (45–50 minutes): $195

• Payment is due at the time of service
• We accept credit/debit cards and HSA/FSA cards
• Fees may vary for specialized services, extended sessions, or future intensive offerings

Fees And Payment

We are not in-network with insurance plans. Some clients choose to use out-of-network benefits for possible reimbursement, depending on their plan (e.g. PPO, POS or Choice plans).

How Out-of-Network Reimbursement Typically Works
• You pay our fee at the time of your session
• We provide a superbill upon request
• You submit the superbill to your insurance company
• Your insurance company determines whether and how much they reimburse

Reimbursement is not guaranteed and varies widely by plan.

If you plan to use out-of-network benefits, you may want to ask your insurance company:
• Do I have out-of-network mental health benefits?
• What is my out-of-network deductible, and have I met it?
• What percentage is reimbursed after the deductible?
• Is preauthorization required?
• Are telehealth sessions reimbursed?
We can provide the information you need (service type, CPT codes, etc.) to help you ask these questions.

We choose to remain out-of-network so we can provide care that is thoughtful, flexible, and clinically driven.

Being a private-pay practice allows us to:
• Spend more time on careful assessment and individualized treatment planning
• Offer integrative and specialized services without insurance-imposed restrictions
• Maintain greater privacy (insurance billing often requires diagnostic reporting)
• Reduce administrative barriers that can delay or limit care
• Focus on the quality and continuity of the therapeutic relationship

• There is a waiting area; your clinician will meet you at your appointment time
• The building has elevator access
• Parking is available nearby (municipal and street options)
• Our office is located directly on the Minuteman Bikeway and has bike racks.

We offer secure telehealth for clients located in Massachusetts.

Before your telehealth session:
• You’ll receive instructions for accessing our secure platform
• Choose a private, quiet location
• Headphones are recommended for privacy and sound quality
Telehealth sessions are conducted with the same level of care and professionalism as in-person visits.

• Frequency is discussed collaboratively based on your goals

Cancellations
• We require at least 24 hours notice to cancel or reschedule
• Late cancellations or missed appointments may be charged a fee
This policy helps protect appointment availability for all clients.

Do you offer telehealth?

 Therapy is confidential, with some exceptions, but submitting claims to insurance may require sharing some information (such as diagnosis, types of service, dates of service or more), depending on your plan.

Is therapy confidential if I use out-of-network benefits?

That’s very common. We’ll help you clarify options and recommend an approach based on your goals and history.

What if I’m not sure which type of therapy I need?

We sincerely care about your wellbeing and want you to get the best and most appropriate help. We are not an emergency service. If you are in immediate danger, call 911 or go to the nearest emergency room. You can also call or text 988, the Suicide & Crisis Lifeline.
